IT and Facilities Management

Why communication between IT and Facilities Management is more important than you think.

I ntegrating a BEMS (Building Energy Management System) over an IT system can be a very appealing option for Facilities Managers (FMs) and Systems Integrators; with benefits like overall network cost reduction, and increased security.

However for BEMS deployment to be successful and run smoothly, communication, understanding and collaboration needs to exist between IT departments, FMs, and Systems Integrators.

Why do the two need to communicate?

Convincing all parties involved that collaboration is a positive can be a challenge. For example, many IT professionals may view BEMS integration as an imposition on the network infrastructures they are responsible for specifying, configuring and maintaining; often rightly so as integration can influence a number of network factors.

From a BEMS perspective, an ever increasing number of Internet Protocol (IP) based systems need to run over the LAN, or Local Area Network. But for IT managers, who must ensure that all applications work correctly, this can cause headaches. From legitimate worries regarding network security and access, to performance and accountability in the case of problems; FMs and Systems Integrators may not be aware of why IT sometimes consider BEMS to be an unnecessary use of bandwidth.

For both parties responsible, communication and understanding is vital to ensure a BEMS can operate without impacting the integrity of the network.

The advantages of integrating BEMS into IT networks

To address the challenge, stressing the importance of integrating BEMS into IT networks can form a solution.

Integrating BEMS into IT network offers multiple benefits:

  • Reduced cost – Integration removes the requirement for two separate infrastructures, minimising costs and operational spend.
  • Security – In turn, this also lowers risk, making the network more secure and minimising the risk of malicious attacks.
  • Time – Through good communication and collaboration, large amounts of time, trouble and effort can be saved.

From installation to everyday usage and operation, BEMS requires a certain amount of crossover and clear communication between departments. The extent of involvement and specific requirements will of course vary between different organisations, but as long as responsibilities are defined and discussed – such as deciding where a Facilities Managers duties end, and IT’s begin, the process can be smooth, constructive and productive.

There is no universal solution, but willingness, understanding, and flexibility in collaboration will go a long way in ensuring a BEMS network can function effectively over an IT network.
